Virtual Executive Assistant Jobs for US Clients

Your executive opens a clean inbox because you got there first. Overnight mail is sorted, the three messages that need them are flagged with a one line summary, and the rest is answered or filed. The 10am call already has a brief attached with the last conversation and the open questions. When two meetings collide, you decide which one moves, and you tell the other side yourself.

VAinUSA hires executive assistants from anywhere in the world, and what matters is your judgment and your discretion. This is a work from home role built around your reliability, not your location. There is no fee to apply and no fee to be placed, because the US companies hiring are the ones paying us. If anybody ever asks you for money to start a job, that is not us, and it is not a real job.

Day to day you deal with your executive, their direct reports, and everyone outside who wants a piece of their time: clients, vendors, board members, the occasional family logistics. Trust builds quickly in this seat. Assistants who prove they can be handed something sensitive tend to end up running projects, managing other assistants, or taking on chief of staff work as the company grows.

What You'll Do

  • Inbox Ownership: Read everything first, answer what you can in your executive's voice, and surface only what genuinely needs them.
  • Calendar Defense: Hold the schedule against low value meetings, protect blocks of focused time, and rebuild the day when something urgent lands.
  • Briefs and Meeting Prep: Put a short brief in front of every important call: who they are meeting, what happened last time, what needs a decision.
  • Travel and Logistics: Book flights, hotels, and ground transport, then send an itinerary that answers the questions before they get asked.
  • Follow Up Tracking: Capture every commitment made in a meeting and chase it until it is done or formally dropped.
  • Confidential Requests: Handle contracts, personnel matters, and personal errands without any of it being discussed anywhere else.

What You Get

Weekly Pay + Bonuses

Your hours are paid every Friday in USD, and executives frequently add a bonus after a heavy travel month or a launch you carried.

A Real US Client

You support one named leader at one US company, not a queue of tickets shared across a call center floor.

AI-Enabled Tools + Coaching

We train you on AI inbox triage and on drafting replies your executive can send after one edit, plus how to judge what should never be automated.

Room to Grow

Assistants who earn full trust move toward chief of staff work: owning projects, sitting in on decisions, briefing the wider team.

How to Apply for This Remote Job

1

Send Your Application

Send us the short form. It costs nothing, and no stage of getting placed will ever ask you for money.

2

Interview with Us

We go through judgment calls: which meeting you move, what you answer yourself, what you escalate. Expect a short writing sample in an executive's voice.

3

Meet Your Client

You meet the leader you would support. They describe how they like their day protected, what they never want to see, and who gets straight through to them.

4

Start Managing the Calendar

Week one is watching and learning their preferences. By week three you are making the calls yourself and they have stopped double checking.

Questions, answered

Frequently Asked Questions

Do I Need Executive Assistant Experience to Apply?

Experience is strongly preferred here, and we will say that plainly. Supporting a leader means making judgment calls from day one about what deserves their attention, which is hard to learn from scratch while somebody depends on you. If you have supported a manager, a founder, or a busy department before, apply. If your background is general admin, tell us honestly and we will look at where you fit.

What Hours Will I Work?

You work your executive's day. That usually means a full overlap with US business hours, roughly 8am to 5pm in their time zone, plus a short evening check for anything that landed after they logged off. Travel weeks bend the schedule and you get warned in advance. Nobody expects you awake at 3am, and the boundaries get set before you accept.

Can I Apply From Anywhere in the World?

Of course. No client has ever needed their assistant physically in the building, and candidates are hired from anywhere on the strength of judgment and discretion alone. The practical requirements are dependable internet, a private room where confidential calls can happen without anyone overhearing, and a working day that lines up with your executive's.

How Much Does an Executive Assistant Earn?

Pay for this role sits in a market range of $5 to $8 / hr, sent weekly in USD, with bonuses when an executive wants to mark a stretch of heavy work. Assistants trusted with travel, board communication, and confidential files sit toward the top of that band, while calendar only support sits lower. Your exact rate is confirmed with you before you accept a placement.

Will I Be Given Access to the Executive's Email?

Yes, that is the job. A delegated login to their inbox and calendar is set up for you during onboarding, along with whatever else the company runs on. Access is granted properly through their systems, never by somebody sending a password over chat. Treating that access carefully is the fastest way to earn a leader's trust.

What Equipment Do I Need to Start?

A reliable computer, stable internet, a quiet room, and a headset good enough for calls where you take notes while people talk. Privacy matters more in this role than in most, because you will hear salary conversations, contract terms, and things said in confidence. Headphones are not optional here.

How Long Do These Placements Last?

They are built to last years, not weeks. An executive who has trained somebody on their preferences has no appetite for starting over, so these tend to be the most stable work from home positions we fill. The first ninety days are the proving period. After that, the pressure comes from the workload, never from wondering whether the job continues.
