Resume and interview prep resources for virtual assistants

A strong virtual assistant resume is short, specific, and built around outcomes, not job titles. Recruiters skim resumes in under a minute, so put your most relevant remote skills at the top: the tools you use daily (Google Workspace, Slack, calendar and inbox management, CRMs, social scheduling), plus one or two numbers that show impact, like how many emails you managed a day, how many calls you handled, or how much time you saved a client. Skip the objective statement and use a short summary instead: two sentences on who you are and what kind of remote work you do best.

If your remote experience is informal (freelance work, family business admin, running a small online shop), it still counts. Describe it the way you would describe any job: what you did, for whom, and for how long. Use verbs like managed, scheduled, coordinated, and responded, and note the hours you worked and the time zone you covered. If you have never had a formal remote job, say so plainly and lead with the skills you do have. Honesty here builds trust faster than a resume that oversells.

Most VA interviews ask a version of the same handful of questions. Answer with a specific example, not a general claim about yourself:

  • "Why do you want to work remotely?" Talk about the schedule, the type of work, and the kind of company you want to support, not just the paycheck.
  • "How do you handle a full inbox or a busy calendar?" Describe your actual system: how you prioritize, flag, and follow up, with a real example if you have one.
  • "Tell us about a time something went wrong." Say what happened, what you did about it, and what you changed afterward. Interviewers trust that far more than a claim that nothing ever goes wrong.
  • "What hours can you commit to?" Be exact about your time zone and your available hours. Vague answers here cost more interviews than any other single mistake.

For the video interview itself, test your camera and microphone at least an hour beforehand, not five minutes before. Sit somewhere quiet with a plain background and good light in front of you, not behind you. Keep a short list of your key points nearby, but do not read from a script. Log in two or three minutes early. If your internet is unreliable, have a mobile hotspot ready as a backup, and mention upfront if you expect any connection issues so it does not read as distraction.
